SECTION 1: INTRODUCTION

1.1 Purpose & Scope
Mandatory Compliance: This handbook serves as the comprehensive guide for all pilots and staff members of NGS Virtual Airways. All regulations detailed in this document must be followed. Non-compliance may result in disciplinary action, including potential dismissal from the virtual airline.
Document Purpose

This Standard Operating Procedures manual outlines our operational procedures, expectations, and standards as approved by Senior Staff. It serves to:

  • Establish clear operational guidelines for all members
  • Maintain professional standards across the organization
  • Provide comprehensive guidance for new and experienced pilots
  • Ensure consistent and realistic flight operations
Scope of Application

This SOP applies to:

  • All NGS Virtual Airways pilots (active and inactive)
  • All staff members and administrators
  • All flight operations conducted under the NGS callsign
  • All activities on NGS platforms (website, Discord, etc.)

Welcome to NGS Virtual Airways! We are a passionate community of flight simulation enthusiasts united by our shared love for aviation.

Established on April 22, 2022 with the goal of creating an inclusive and immersive environment for all skill levels, we strive to offer our pilots the best possible virtual flying experience.

SECTION 2: GETTING STARTED

2.1 Pilot Requirements
2.1.1 Technical Requirements

To join and maintain membership with NGS Virtual Airways, all pilots must possess:

  • A legal copy of one of the following flight simulators:
    • Microsoft Flight Simulator (FS2004, FSX, 2020, or 2024)
    • Prepar3D (any version)
    • X-Plane 11 or 12
  • A stable internet connection capable of downloading flight data
  • vmsACARS flight tracking software (provided by NGS)
2.1.2 Membership Requirements
  • Minimum age of 13 years
  • Valid email address maintained on file
  • Active VATSIM account (www.vatsim.net) - Strongly Recommended
  • Agreement to abide by Activity Requirements (Section 4.2)
  • Agreement to Code of Conduct (Section 4.1)
Prohibited: "Double-logging" flights to multiple virtual airlines simultaneously. Each flight may only be filed with ONE virtual airline.
2.2 Pre-Flight Setup & Software Installation
Required: These steps must be completed before your first flight with NGS Virtual Airways.
2.2.1 Flight Tracking Software

NGS Virtual uses vmsACARS to automatically track and record your flights. This software is compatible with all supported simulators.

Download Required Connector

Install the appropriate UIPC connector for your simulator:

  • X-Plane: XPUIPC (Universal Inter-Process Communication)
  • MSFS/FSX/P3D: FSUIPC

Install Software

Run the installers and follow the on-screen instructions. Restart your simulator after installation.

2.2.2 Aircraft Liveries (Optional but Recommended)

While optional, liveries greatly enhance immersion. All NGS liveries are available on Flightsim.to.

2.3 Fleet Information

NGS Virtual Airways offers customers the utmost in comfort, technology, and innovation across our diverse fleet.

All aircraft in our fleet are available with custom NGS liveries. Complete fleet specifications, availability, and aircraft details can be viewed on the fleet page.

2.4 Your First Flight
New Pilot Recommendation: Start with a Charter Flight (Section 3.1.3) so you can choose a route you're familiar and comfortable with.

Every flight with NGS Virtual follows these three phases:

SECTION 3: FLIGHT OPERATIONS

3.1 Flight Types & Operations

NGS Virtual offers three distinct types of flights to accommodate different flying preferences and experience levels:

3.1.1 Scheduled Flight
Best for: Unsure where to fly

Pre-planned routes based on real-world airline operations with assigned departure/arrival airports and times.

  • Random passenger/cargo assignment
  • Assigned flight number and callsign
  • No penalty for schedule delays
  • Fly at your convenience

3.2 Flight Planning with SimBrief

SimBrief integration is built directly into the NGS Virtual flight dispatch system.

Integrated Dispatch: When you book a flight and navigate to the dispatch page, click "Dispatch via SimBrief" to automatically pre-fill your flight details.
3.2.1 Departure Time & Format
  • Off Block Time: Set your scheduled pushback time (Zulu/UTC format)
  • OFP Format: "LIDO" format recommended for beginners
  • Use refresh icon to set time to current + 35 minutes
3.2.2 Flight Information
  • Flight Number: Enter 0-9999 (your choice for charter flights)
  • Origin: Departure airport ICAO code (e.g., KJFK)
  • Destination: Arrival airport ICAO code (e.g., KLAX)
  • Alternate: Optional - SimBrief auto-selects if left empty
3.2.3 Aircraft Selection
  • Enter the ICAO type designator (e.g., A320, B738)
  • Find designators on the Fleet page
  • Registration format: N + 1-5 alphanumeric characters
  • Select airframe for accurate performance data
3.2.4 Payload Configuration
  • Passengers: Number of passengers (auto-calculated if omitted)
  • Cargo: Weight in thousands of pounds (e.g., 3.47 = 3,470 lbs)
  • Reserve Fuel: AUTO mode (45 min for props, 30 min for jets)
3.2.5 Navigation & Routing

SimBrief automatically determines optimal route, runways, and altitude. Override if needed:

  • Route: Waypoints, STARs, SIDs, Airways
  • Cruise FL: Flight level (e.g., 340 = 34,000 ft)
Final Step: Review all data for accuracy, then click "Dispatch Flight" in the top left corner.
3.3 Flight Tracking with vmsACARS

vmsACARS automatically tracks your flight and submits your PIREP upon completion.

3.3.1 Starting Your Flight

Launch NGS ACARS (vmsACARS)

Open the ACARS client on your computer.

First time setup: Make sure your VA URL/API profile from your NGS account is loaded so ACARS can talk to the site. You can download this from your phpVMS profile and place it in Documents\vmsacars\profiles. phpVMS Docs

Log in / load your NGS profile

ACARS should auto-fill the VA URL and API key from the profile.

Select your simulator (MSFS / X-Plane / P3D/FSX) and make sure the path/plugins are set up as shown in the phpVMS docs.

Load or select your flight
  • You can load a bid/assigned flight from the ACARS "Flight Search / Bids" page, or
  • Enter the flight details manually to match what's on the NGS site.

If your flight has a SimBrief plan tied to it on the site, ACARS will show that — just verify the route and aircraft. phpVMS Docs

Load into the simulator
  • Spawn at the departure airport in the dispatched aircraft/livery.
  • Make sure the aircraft is on the ground and parking brake is set — ACARS won't start a flight if you're not on the ground.

Start the flight in ACARS

In the client, click "Start Flight" (this puts you into Boarding in phpVMS terms).

ACARS will begin tracking phases automatically (boarding → pushback → taxi → takeoff → enroute → approach → landing → taxi-in). You just fly. phpVMS Docs

Fly to your destination

ACARS will detect takeoff, cruise, descent, and landing automatically as long as you stay in the sim and don't change sim rate/slew.

3.3.2 Completing Your Flight

Land at the destination airport

Taxi clear of the runway and come to a full stop (parking brake on). ACARS will show the "End Flight" button once it sees you've arrived. phpVMS Docs

Click "End Flight" in ACARS

This tells phpVMS you're done and brings up the PIREP option.

File/submit the PIREP from ACARS

It will send it straight to the NGS site for approval/scoring.

Congratulations! Your flight is complete! PIREPs appear on your profile within moments of submission.
3.4 PIREP Criteria & Scoring

Our flight tracking system (NGS ACARS) ensures realistic and professional flight operations through automated scoring. ACARS watches lights, speed, realism settings, and landing quality and deducts points when something is out of spec.

3.4.1 Scoring System
  • All flights begin with a 100-point performance score
  • Deductions are applied automatically when ACARS detects a rule violation (see list below)
  • Flights that complete with no major violations are automatically approved
  • Flights with significant deductions (fuel added in flight, slew, sim-rate changes, runway overrun, or low final score) are held for Crew Base Manager review
3.4.2 ACARS-Monitored Items & Deductions

ACARS currently checks for the following violations:

Landing lights NOT on below 10,000 ft -5 pts
Landing lights off while taxiing -2 pts
Taxi speed above 30 kts -5 pts
Excess G-forces (>2 Gs in turn/flight) -5 pts
Fuel refilled in flight -50 pts
Overspeed (aircraft overspeed warning) -10 pts
Excess bank (>60°) -5 pts
Excess pitch (>30°) -5 pts
Runway overrun (aircraft leaves runway surface) -50 pts
Simulation rate increased -50 pts
Slew mode activated -100 pts
Exceeding 250 KIAS below 10,000 ft -5 pts
Unstabilized approach (not configured by 1,000 ft AGL) -5 pts
Stall warning -15 pts
Hard landing (>500 fpm) -20 pts
Note: Thrust-reverser rules in flight / reverse above 60 kts are currently disabled in ACARS and will not affect score. "Landing lights off over 10,000 ft" is monitored but not penalized right now.
3.4.3 Operational Guidelines
  • Published timetable times are local to the departure/arrival airports
  • Pilots are not required to fly the exact published departure time
  • Schedule adherence is encouraged but not penalized by ACARS
  • Contact your Crew Base Manager with any PIREP or scoring concerns, especially if ACARS deducted something you can explain (weather, ATC, aircraft limitation, etc.)

SECTION 4: STANDARDS & POLICIES

4.1 Code of Conduct
Enforcement: Violations may result in disciplinary action, including potential termination from the virtual airline.

NGS Virtual Airways maintains a professional and respectful environment for all members through these core principles:

4.1.1 Respect Network Rules

Members must follow all rules and regulations of external networks (VATSIM, IVAO, etc.) when representing NGS Virtual Airways. Violations on external networks reflect on our organization.

4.1.2 Maintain Respect

Show respect to all members, the organization, and the broader flight simulation community. We foster a learning environment with diverse membership backgrounds. Disagreements should be handled professionally.

4.1.3 Legal Compliance

Follow all applicable laws and regulations in your jurisdiction while participating in NGS activities. Exchange of legally obtained flight simulation knowledge and resources is encouraged. Political discussions are not appropriate for NGS platforms.

4.1.4 Privacy & Copyright
All NGS materials are copyrighted. Do not share proprietary content (liveries, documents, internal communications) without written permission from Executive Staff. Violations result in permanent removal and potential legal action.

Media posted in NGS channels may be used for VA promotional purposes.

4.1.5 Product Discussion

Product advertising is prohibited. However, members are encouraged to share opinions and provide technical support for flight simulation products within our community.

4.1.6 Professional Communication

Given our diverse international membership, profanity, derogatory terms, harassment, and discrimination of any kind are strictly prohibited across all NGS platforms.

4.1.7 Legal Activities Only

NGS platforms must not be used for any illegal activities. We cooperate fully with law enforcement investigations when required by law.

4.1.8 Content Standards

Graphic, explicit, or inappropriate multimedia content is not permitted on any NGS platform (Discord, website, social media).

4.2 Activity Requirements

NGS Virtual Airways requires minimal activity to maintain active membership status:

Minimum Activity: One (1) approved PIREP every 30 days. The 30-day period resets with each approved flight report.
4.2.1 Manual PIREPs

Manual PIREPs may be submitted through the website if ACARS is unavailable. These count toward activity requirements when approved.

4.2.2 Inactivity Process

4.2.3 Reinstatement

Pilots terminated for inactivity may request reinstatement by contacting their Crew Base Manager or any Staff member to regain active status.

4.2.4 Leave of Absence (LOA)

If unable to meet activity requirements, contact your Crew Base Manager to request a Leave of Absence:

  • Standard LOA: Up to 90 days
  • Extended LOA: May be arranged with Senior Staff approval for extenuating circumstances
  • Contact Chief Pilot if Crew Base Manager unavailable
  • Activity requirements suspended during approved LOA period
Communication is Key: Always communicate with staff if you're unable to fly. We understand real life comes first!
4.3 Rank Structure & Promotions

Promotions at NGS Virtual Airways are automatically awarded based on total approved flight hours:

Promotion Issues: Contact your Crew Base Manager if you experience problems with automatic rank promotions.
4.3.1 Awards & Recognition

Pilots can earn special awards for various achievements and milestones:

  • 50 Flights Award - Complete 50 accepted flights
  • 100 Flights Award - Complete 100 accepted flights
  • One Year of Service - 1 year with NGS Airways
  • Two Years of Service - 2 years with NGS Airways
  • Three Years of Service - 3 years with NGS Airways
  • Four Years of Service - 4 years with NGS Airways
  • Tour Completion Awards - Complete special tour routes
  • Special Recognition - Outstanding contributions
Awards are automatic: Most awards are granted automatically when you meet the criteria. Check your profile to view your earned awards!
4.4 Disciplinary Actions

NGS Staff and Senior Staff are responsible for issuing appropriate disciplinary actions for violations of this SOP manual.

4.4.1 Progressive Discipline Structure

Severe Violations: May result in immediate termination without progressive discipline process.
4.4.2 Appeal Process
  • Appeals may be submitted to the CEO and COO
  • Appeals must be submitted within 7 days of disciplinary action
  • Decision of Executive Leadership is final
4.4.3 During Suspension

Access to Operations Center, Discord, and NGS websites may be temporarily restricted during suspension periods.

4.5 VATSIM & Online Network Operations

NGS Virtual Airways strongly encourages participation on VATSIM for enhanced realism in flight operations.

4.5.1 VATSIM Guidelines
  • VATSIM membership required for all NGS pilots (usage optional)
  • Follow all VATSIM Code of Regulations and Code of Conduct
  • Remember you represent NGS Virtual Airways when flying online
  • Professional communication with ATC and other pilots mandatory
